About the role
The Executive Secretary provides high‑level administrative and secretarial support to the Vice President, ensuring smooth daily operations and effective communication across internal and external stakeholders. Working in a fast‑paced, global environment, the role combines confidential document handling, meeting coordination, and travel logistics.
Key responsibilities
- Manage the Vice President’s calendar, schedule meetings, workshops, and conferences, and coordinate related logistics.
- Prepare and draft correspondence, emails, memos, meeting minutes, reports, and presentation materials.
- Act as the first point of contact for internal and external stakeholders, prioritising enquiries and offering alignment options.
- Handle confidential information with discretion, maintaining secure filing and archiving systems.
- Arrange business travel, including hotel reservations, ticketing, and travel documentation, and process expense statements.
- Support regional and global stakeholder visits, including invitation letters and on‑site logistics.
Required profile
- Proven experience providing administrative support to senior executives.
- Strong judgment in handling confidential matters and stakeholder interactions.
- Excellent written and verbal communication skills.
- Ability to work independently with limited supervision.
