Import & Export Operations Executive (MY)

About the role

The Import & Export Operations Executive will ensure smooth execution of inbound and outbound transportation, handling documentation and system updates while maintaining compliance and cost control.

Key responsibilities

• Manage end‑to‑end import and export shipments across modes (air, LCL, FCL, ISO, tanker, parcel) and coordinate with logistics providers, warehouses and internal teams.
• Prepare, validate and upload shipping documentation in SAP TM and ensure shipment readiness.
• Produce and maintain operational reports (KPIs, demurrage, freight cost clean‑up, TCO) and drive corrective actions on deviations.
• Verify freight invoices, manage cost control, trailer detention and demurrage validation, and support purchase‑order based PR issuance.
• Handle claim billing, non‑conformance and insurance claims, maintaining issue logs until closure.
• Manage spot‑rate requests, obtain approvals and keep rate documentation in SharePoint.
• Conduct compliance health checks, ensure proper archiving, and support internal/external audits including VGM and SOLAS requirements.
• Develop and update work instructions, guidelines and job aids in KNOWIT and SharePoint, and support process improvements.
• Liaise with logistics providers, procurement, finance and hub teams to monitor service‑provider performance against KPIs.

Required profile

• Proven experience in managing import and export logistics operations.
• Familiarity with SAP Transportation Management (SAP TM) and documentation processes.
• Strong analytical ability to prepare and interpret logistics reports.
• Experience in freight cost control, invoice verification and claim handling.
• Knowledge of compliance standards such as VGM (SOLAS) and audit procedures.
• Effective stakeholder coordination across logistics, finance and procurement functions.
