About the role
The Operations Executive will support 24/7 operational needs for crew change and vessel services at Inchcape Shipping Services in Shah Alam, Malaysia. You will act as the main liaison between customers, port authorities and internal teams to ensure smooth operations.
Key responsibilities
- Respond to all operational inquiries and customer queries via email, OPTIC, CLS, etc.
- Liaise with Port Authorities, Immigration, Customs and Marine Department to coordinate crew changes.
- Maintain up‑to‑date crew change regulations for all ports.
- Prepare EPDA documents for clients and create appointments in One‑DA.
- Track vessel ATA/ATS, service line updates and record vessel CE within three days of sailing.
- Collect and upload service vouchers from drivers and other vendors.
- Follow up with DA/Cash Flow team to ensure closed appointments have no pending items.
- Maintain vendor usage records for audit purposes.
