Boarding Officer – Vessel Operations

About the role

The Vessel Boarding Officer will be the on‑site representative for Inchcape Shipping Services, ensuring smooth coordination of operational, regulatory and compliance activities when vessels arrive, stay and depart from Malaysian ports.

Key responsibilities

• Attend vessels at berth, anchorage or offshore terminal to manage arrival, stay and departure formalities.
• Coordinate clearances and inspections with port authorities, immigration, customs and marine department.
• Deliver and collect ship documents such as crew lists, arrival/departure declarations and cargo paperwork.
• Assist with crew changes, identity verification, gate passes and immigration processes.
• Ensure compliance with safety and security protocols (ISPS Code) on board and at port.
• Communicate schedules, operational instructions and requirements between ship, agencies and shore‑based stakeholders.
• Arrange supply deliveries, repairs and husbandry services as required.
• Maintain accurate records of boarding activities, reports and expenses, and support emergency operations outside regular hours.

Required profile

• Available 24/7 for operational needs and concerns.
• Ability to handle vessel clearance inward and outward, update relevant systems and liaise with government authorities.
• Willingness to complete HSSE, compliance and ethics training and adhere to company policies.

Required skills

• Knowledge of Malaysian maritime regulations and ISPS Code.
• Experience with port documentation, customs, immigration and quarantine procedures.
