Specialist, Meeting Services Support (Vietnamese Speaker)

About the role

The Specialist, Meeting Services Support ensures end‑to‑end administration of meetings and related financial activities for assigned markets. Working within the Travel, Meetings, Events & Fleet organization, the role applies company policies, coordinates with cross‑functional teams, and drives process standardisation.

Key responsibilities

• Manage meeting cases from request intake through event creation, vendor coordination, purchase orders, reconciliation, payment and closure.
• Investigate and resolve incomplete, rejected or aging requests, performing root‑cause analysis for recurring issues.
• Coordinate with Meeting Owners, Finance, Procurement, Compliance and external agencies to ensure timely and compliant delivery.
• Maintain and update market work instructions, SOPs, templates and operational trackers.
• Support onboarding, knowledge transfer and coaching for new Associate Specialists.
• Identify opportunities to simplify, automate or eliminate duplicate activities and contribute to continuous‑improvement projects.

Required profile

• Bachelor’s degree in Business Administration, Accounting, Finance, Economics, Science or a related discipline.
• Typically 3 + years of experience in meeting operations, finance operations, accounts payable, purchase‑to‑pay, expense management or similar environments.

Required skills

• Strong understanding of operational controls, compliance requirements and finance processes.
• Analytical, problem‑solving and prioritisation abilities with a focus on accuracy.
• Proficiency in Microsoft 365 applications – Excel, Outlook, PowerPoint, Teams and SharePoint.
• Experience with systems such as Veeva, SAP, Ariba, Concur, ServiceNow, Cvent or Salesforce.
• Fluent in English and Vietnamese (reading, writing and speaking).
