Senior Import Export & Trade Documentation Executive

About the role

The Senior Import Export & Trade Documentation Executive will manage customer orders and purchase orders, ensure accurate trade documentation, and drive continuous improvement across the South America region from our Kuala Lumpur hub.

Key responsibilities

• Execute customer order management and purchase order processes, ensuring timely processing of sales and purchase orders.
• Serve as first‑level contact for order‑fulfilment issues, master data escalations and SAP‑related queries.
• Verify and draft Bill of Lading documents for letters of credit, third‑party supplier and key customer orders.
• Manage insurance certificates, monitor Bill of Lading receipt status and collect original documents from suppliers.
• Upload and maintain all trade documents in SAP to provide an audit trail and support internal/external audits.
• Register and follow‑up non‑conformances in the NCM system, ensuring rapid customer response.
• Participate in user acceptance testing, train team members on system and process changes, and lead small‑group or Lean improvement initiatives.
• Support operational KPIs, aiming to minimise internal cycle time and improve order processing efficiency.

Required profile

• Bachelor’s degree in Business Administration, Supply Chain Management, Logistics or a related field.
• Minimum 2–3 years of hands‑on experience in supply‑chain order management and trade documentation.
• Proven ability to work with SAP SD module and to handle foreign documentary trade.
• Strong analytical thinking and effective communication skills.
