Import Export & Trade Documentation Executive

About the role

The Import Export & Trade Documentation Executive will manage customer and purchase orders for the KL Hub, ensuring timely processing and accurate documentation for South American markets. This role supports both internal teams and external customers, maintaining high service standards across the region.

Key responsibilities

• Execute customer order management and purchase order processes in the KL Hub.
• Process sales and purchase orders from multiple customers promptly.
• Serve as the service contact for assigned countries, monitoring order status and providing updates.
• Check BL drafts for LC orders, third‑party supplier orders, and key customer orders.
• Manage insurance certificates when required.
• Track BL receipt status based on ETD and collect original Bills of Lading and related documents.
• Upload and maintain documents in SAP to ensure an audit trail.
• Provide documentation for internal and external audits.
• Register and follow up non‑conformances in the NCM system.
• Participate in workflow improvements to ensure on‑time, accurate documentation.
• Support operational KPIs and strive to reduce internal order processing cycle time.

Required profile

• Degree in Business Administration, Supply Chain Management, Logistics or equivalent.
• 2–3 years of relevant experience in supply chain, order management, and shipping document handling.
• Strong knowledge of supply chain processes and foreign documentary trade.
• Analytical thinking and good communication skills.

Required skills

• SAP (SD module) experience.
