Associate Specialist, Meeting Services Support (Mandarin Speaker)

About the role

The Associate Specialist, Meeting Services Support ensures smooth execution of global meeting and congress financial processes. This role handles compliance reviews, payments, reconciliations and provides user support via ServiceNow, primarily for Mandarin‑speaking stakeholders.

Key responsibilities

• Support operational execution of global meetings and congress financial processes, including agreement preparation, compliance review, payment processing and reconciliation.
• Prepare agreements for Healthcare Professionals and Organizations using standard templates.
• Collaborate with Travel, Meetings, Card & Fleet regional leads, finance partners and the Meeting Planning Agency to facilitate payments.
• Maintain and update SOP documentation and ensure compliance with global meeting policies.
• Handle user inquiries, service requests and issue resolution through ServiceNow, meeting SLA targets.

Required profile

• Bachelor’s degree in Business Administration, Finance, Accounting or related field.
• 1‑2 years of experience in basic accounting or Procure‑to‑Pay/Order‑to‑Cash/Record‑to‑Report processes.
• Fluent in English and Mandarin (spoken, read and written).
• Strong attention to detail, ability to work independently and in a geographically dispersed team.

• Intermediate MS Excel, Power Apps, Power BI, PowerPoint, SharePoint.
• SAP modules (Concur, Shopping/Purchase Order, Payment Portal).
• Ariba procurement system.
