Associate Specialist, Meeting Services Support (Thai Speaker)

About the role

The Meeting Services Support team within the Travel, Meetings, Events & Fleet (TME&F) organization delivers standardized, compliant processes across the Americas, Europe and Asia. As an Associate Specialist you will support the accurate and timely administration of meeting requests and events for the Malaysia market, ensuring proper documentation, vendor management and payment reconciliation.

Key responsibilities

• Review meeting requests for completeness, create or update event details in approved systems, and maintain accurate attendee, speaker and expense records.
• Support vendor creation, contract preparation, and purchase order administration using standard templates and forms.
• Perform reconciliation of invoices, receipts and expense details, prepare payment requests and journal entries, and escalate exceptions.
• Collaborate with meeting owners, product managers, finance, procurement and regional operations to ensure timely delivery and compliance.

Required profile

• Bachelor’s degree in Business Administration, Finance, Economics, Science or related field.
• Up to 1 year of experience in finance operations, meeting administration, accounts payable or shared services (fresh graduates welcome).
• Fluency in English and Thai; additional languages such as Japanese or Korean are a plus.

Required skills

• Proficiency with Microsoft 365 applications (Excel, Outlook, PowerPoint, Teams, SharePoint).
• Experience using meeting‑related systems such as Veeva, SAP, Ariba, Concur, ServiceNow or Cvent.
• Basic knowledge of data reporting tools like Power BI, Power Apps, macros or automation utilities.
